School offices in Visakhapatnam and across Andhra Pradesh already know who has not paid. The slow part is telling them. Someone opens a register, copies a phone number into WhatsApp, types the amount, and repeats that for every pending fee. A few parents get missed. A few get the same message twice.
Fee reminders can go out from the fee list itself. The office still decides the dates, the wording and who is exempt. WhatsApp only delivers the message.
What the school needs first
Automation does not replace the fee register. It needs a list that is already right:
- the student's name and class,
- the parent's WhatsApp number,
- the fee head and the amount due,
- the due date, and
- whether the fee is paid, partly paid, or waived.
If that list lives in a notebook and a spreadsheet at the same time, fix that first. One list is enough to start.
What the reminder should say
Keep it short and specific. Parents ignore a vague "please pay the fees". A useful message names the child, the class, the amount and the due date, and says how to pay.
It should also say who to call if the amount looks wrong. Fee disputes belong to the office, not to an automated chat.
When messages should go out
A simple schedule is enough for most schools:
- A few days before the due date, for everyone with a balance.
- On the due date, only for fees still unpaid.
- One follow-up a few days later, still only for unpaid fees.
Stop the sequence as soon as the payment is recorded. That is the difference between a reminder and spam.
Concessions, sibling discounts and staff wards should be marked in the fee list so they are not chased by mistake.
What stays with the office
WhatsApp can send the reminder and can record that it was sent. It should not decide a concession, mark a cash payment it did not see, or argue about a receipt. Those stay with the accountant.
When a parent pays by UPI or card through a payment link, the fee list can update from that payment. Cash and cheque still need a person to enter them.
A sensible first version
Do not start by automating every fee head for every branch. Pick one due date, one group of classes, and the message the office already sends. Run it once with the accountant watching the list. Then add the next due date.
Schools in Vizag that already answer admission questions on WhatsApp can use the same official number for fee reminders, so parents are not talking to a new unknown contact.
